An “Upload Failed” error when sharing a file inside Microsoft Teams chat indicates that Teams cannot transfer the document to the sender’s personal OneDrive for Business site, which hosts all 1:1 and group chat attachments. When this happens, Teams displays a red exclamation mark next to the file bubble, blocking recipients from viewing or downloading the content.
Fast Fix
Verify your personal OneDrive storage quota by signing into portal.office.com and opening OneDrive > Settings > Storage Metrics. If your OneDrive is full or read-only, chat uploads will fail instantly. Delete unnecessary files or empty your recycle bin to clear space, then re-attempt the upload in Teams.
Diagnostic Snapshot
| Diagnostic Check | 1:1 or Group Chat Upload | Standard Channel Upload |
|---|---|---|
| Backend Storage Engine | Sender’s personal OneDrive for Business | Team’s connected SharePoint Site |
| Folder Location | /Microsoft Teams Chat Files | /Shared Documents/[Channel Name] |
| Common Failure Cause | Sender OneDrive full, locked, or unprovisioned | SharePoint folder permissions or check-out rules |
| User Impact | Single sender blocked from sharing in chat | Channel members blocked from collaboration |
How Teams Chat Uploads Differ from Channels
A common point of confusion among Microsoft 365 users is the difference between a Teams Channel and a Teams Chat.
Teams Upload Request
│
├── Channel Post? ──────> Stored in: SharePoint Site Collection
│ (/Shared Documents/[Channel])
│
└── 1:1 or Group Chat? ─> Stored in: Sender's OneDrive for Business
(/Microsoft Teams Chat Files)
When you attach a file to a 1:1 direct message or a group chat, Teams does not upload the file to SharePoint. It uploads the file directly to your personal OneDrive for Business account and automatically assigns read permissions to the other participants in that chat.
The upload fails when:
- The Sender’s OneDrive Account is Full or Frozen: Because chat files consume the sender’s personal storage quota, an exhausted OneDrive prevents files from uploading even if the recipient has terabytes of available space.
- The “Microsoft Teams Chat Files” Folder is Corrupted: Teams requires a specific, default directory inside your OneDrive root. If this folder has been deleted, renamed, or stripped of its default write permissions, uploads fail.
- Tenant License or Identity Mismatch: If an account lacks a valid SharePoint/OneDrive license entitlement, Teams chat cannot locate an endpoint to stage the file.
- File Size and Name Boundary Violations: Files exceeding Teams transmission limits or containing reserved system characters are rejected by the cloud storage engine before transmission finishes.
If the file uploads properly but throwing sharing access errors to recipients immediately afterward, see “Something went wrong” when Sharing a File in Teams.
Progressive Troubleshooting Steps
1. Verify OneDrive Storage Capacity and Status
Before adjusting Teams settings, confirm that your personal OneDrive account is online and accepting new data.
- Open your web browser and navigate to portal.office.com.
- Click the app launcher (waffle icon) and open OneDrive.
- Look at the lower left-hand corner to inspect your storage bar.
- If your storage is at or near 100%, click the Settings gear > OneDrive settings > More Settings > Storage Metrics.
- Delete unneeded files or empty the Recycle bin (accessible from the left navigation pane) to free up storage quota.
If your OneDrive displays an account suspension or frozen status, refer to How to Fix OneDrive Error Code 0x8004def7 (Account Frozen).
2. Recreate the “Microsoft Teams Chat Files” Directory
Teams requires an active folder named Microsoft Teams Chat Files in your OneDrive. If this folder was moved, renamed, or deleted, Teams will fail to negotiate the upload path.
- Inside OneDrive on the web, click My files.
- Look for the folder titled Microsoft Teams Chat Files.
- If missing:
- Check your OneDrive Recycle bin and restore it if found.
- If not in the recycle bin, click Add new > Folder, name it exactly
Microsoft Teams Chat Files, and click Create.
- If present:
- Click the three dots (…) next to the folder and select Manage Access.
- Confirm that your own account is listed as the Owner with full edit rights. If set to read-only, edit permissions back to full access.
If local file access issues persist within your OneDrive directory structure, reference OneDrive “Access Denied” to Local Sync Folder.
3. Inspect File Size and Name Restrictions
Teams chat supports files up to 250 GB, but network proxies, browser environments, and tenant upload caps often enforce lower operational boundaries.
- File Size Check: For large files (video recordings, massive databases), test uploading a simple 1 KB
.txtfile into the same chat. If the text file uploads successfully, your original file hit an environmental size limit or timed out over your network connection. Consult “The file is too large for the destination” Teams Error. - Character Restrictions: Verify that the file name does not include forbidden characters such as:
Rename the file on your local drive to a simple alphanumeric name (e.g.,Document1.docx) and retry the upload.~ " # % * : < > ? / \ { | }
4. Clear the Local Teams Application Cache
A corrupted Teams desktop cache can pass stale upload tokens to the OneDrive storage API, resulting in persistent upload rejections.
- Fully close Microsoft Teams (right-click the Teams icon in the system tray and select Quit).
- Press
Windows Key + R, paste the following path, and press Enter:%localappdata%\Packages\MSTeams_8wekyb3d8bbwe\LocalCache\Microsoft\MSTeams - Delete all files and folders in this directory.
- Relaunch Teams, sign in, and re-attempt the upload in the chat window.
Hidden Problem: Missing Metadata or Mandatory Column Rules
If your upload failure is occurring inside a Channel Chat (which uses SharePoint) rather than a direct 1:1 conversation, check whether a SharePoint administrator recently configured mandatory metadata or validation rules on the library.
When a SharePoint library requires metadata columns that Teams cannot populate through the chat upload UI, the upload fails silently or displays a generic “Upload Failed” error. Review Resolving SharePoint “Missing Metadata” preventing File Upload and Resolving “Column Validation” Errors during SharePoint Sync to correct library requirements.
When to Escalate to an Administrator
If you have confirmed that:
- Your OneDrive has abundant storage space,
- The
Microsoft Teams Chat Filesfolder exists and has correct permissions, - Small, validly named files fail across all 1:1 and group chats,
Then your user account may be experiencing an administrative block. Contact your IT department to verify:
- SharePoint/OneDrive License Status: Confirm that your user account in the Microsoft 365 Admin Center has an active SharePoint Plan 1/Plan 2 license assigned. Without this, your personal OneDrive cannot provision.
- Microsoft Purview Data Loss Prevention (DLP): Security teams often configure DLP rules that automatically block file uploads containing sensitive data (such as credit card numbers, social security numbers, or internal intellectual property) into chat channels. If a DLP policy is triggered, an administrative exception or file modification is required.
